Education and Coaching Events Manager

Program: Global Community

Number of openings: 1

Location: Anywhere

Our Education & Coaching team within the Global Community is like a global chapter. We organize 3-4 global events every year, around the topic of Education and Coaching. We take a particular interest in the careers and successes of - most probably - the most important talents in our industry: the translators.
Our Global Community also includes the following programs that work together: Mentorship (and Job Board), Membership, and Events and Contents.
We are looking to add a new person to our team, someone who shares our love for the localization industry and the people in it. Your title will be Events Manager, but we expect you to be a full member of our team and contribute to shaping the topics for our events.

Responsibilities:

We are looking for someone who can:
- Set up and organize our events with our professional Zoom licence. We typically have hundreds of participants for our events.
- Help with social media/marketing of our events.
- Liaises with speakers to finalize event date.
- Liaises with sponsors leading up to event.
- Creates an event checklist, project manages the steps to all necessary arrangements are in place.
- Creates an Eventbrite event and provides the information needed to promote the event in different channels agreed.
- Manages the Eventbrite registrations, allocating the number of spaces for e.g. students, sponsors/hosts, and manages waiting lists.
- Keeps event registration records.

Qualifications preferred:
- A background working as a previous volunteer in one of our global chapters is a strong preference.
- Has experience or strong desire to learn how to develop education, training and coaching programs.
- Familiar with online events organization, including Zoom, Eventbrite and Mailchimp.
- Ability to research and organize information.

Commitment Expected: 2 years term; 2-4 hours/week, including ability to attend our weekly meetings on Thursdays at 5 pm GMT.

Event Planners – 15th Anniversary Party

Program: Global Partnerships & Events

Women in Localization is looking for volunteers to help planning its 15 th year anniversary celebration.

Role Overview
Women in Localization is celebrating its 15th anniversary and we are looking for volunteers to help organize a special event to mark the occasion. The ideal candidates will have some experience in event planning, be organized and detail oriented. Volunteers will work closely with Women in Localization’s Board of Directors, and other volunteers to ensure that the event is successful.

Responsibilities:

- Work closely with the Women in Localization Board of Directors to develop and execute event plans, ensuring the event is executed on-time and within budget.
- Identify potential sponsors and partners for the event and collaborate with them to secure their participation in the event.
- Coordinate with vendors and contractors to ensure smooth execution of the event, including technical setup and support, catering, and event logistics.
- Develop and manage event timelines, budgets, and schedules, and track progress using project management tools.
- Develop and execute a marketing and communication strategy for the event, including email campaigns, social media, and website content.
- Identify and recruit volunteers to support the event, and coordinate volunteer roles and responsibilities.
- Assist in the development of event content, including presentations, panel discussions, and keynote speeches, as needed.

Requirements:
- Strong organizational skills and attention to detail.
- Experience in event planning and coordination.
- Excellent communication skills, both written and verbal.
- Ability to work independently and as part of a team and take initiative when needed.
- Proficiency with project management tools such as Trello, Asana or similar.

This is a part-time, volunteer position requiring approximately 3-5 hours per week, with some flexibility in scheduling. The ideal candidate will have a passion for event planning and execution and be excited about the opportunity to contribute to Women in Localization's mission and help celebrate the organization's 15th anniversary.

Operations Coordinator - Content

Program: Global Sponsorship

Number of openings: 1

The Sponsorship Operations Coordinator (Content) is responsible for coordinating with the Technology, Media and Marketing programs whenever a sponsors’ deliverable (such as a webinar) is scheduled on platforms such as Zoom, YouTube, LinkedIn Live etc. The Coordinator will also help with the creation of media content relating to our Sponsorship program. Experience in digital marketing or tech is a plus.

Responsibilities:

- Responsible for organizing sponsors’ events and setting up necessary forms for registration
- Responsible for technical setup on Zoom for sponsor events
- Help create webinar rules of engagement for our sponsors and maintaining documentation
- Train and support internal departments on procedures relating to media tools to improve the overall experience for our sponsors

Commitment Expected: Available to participate in bi-weekly calls (1 hour); average 1-2 hours per week commitment; at least 1-year term, more if desired

Social Media Manager, Netherlands Chapter

Program: Chapters & Global Growth

Women in Localization Netherlands is recruiting one volunteer who will take care of the chapter’s Social Media strategy and output in 2023.

You will support the Women in Localization Netherlands Chapter and report to the Chapter Manager.

You will manage and monitor our Social Media channel on LinkedIn, create visuals in Canva, write event copy in English, publish Social Media posts, and help promote our local events. 

This is a great opportunity to explore using LinkedIn, get creative in Canva, practice your skills at writing engaging copy, network with our community, and acquire new skills while having fun.

Responsibilities:

- The Social Media Manager owns the Social Media strategy (including the addition/deprecation of Social Media channels) and implementation for the local Chapter
- Posts about the Chapter’s upcoming events, speakers, hosts, and sponsors to members and community
- Is active and engaged on local social platforms (Facebook, Twitter, LinkedIn, Instagram, and others) to advocate and promote W.L. Chapter via interviews, blogs,
posts, etc.
- Works in close collaboration with the Membership Manager to recruit local Chapter members to engage on videos, articles, etc., and to share content across their networks so more members feel engaged and empowered
- Is comfortable working with data-tracking/measuring (provides statistics on post views, likes, and shares)

Requirements:
- An active member of Women in Localization or proven interested in becoming one
- Creative and enthusiastic person
- Fluent in English
- Dutch skills are not required for this role (but helpful)
- Desirable: Experience (current or past) volunteering with Women in Localization or other similar organizations

Commitment Expected: Available to participate in biweekly calls (60 minutes, evening time CET); Average 1-2 hours per week; The term for Chapter volunteers is 2 years. After this period, volunteers can continue volunteering with Women in Localization in different roles

Student Intern

Program: Global Community

Women in Localization’s Education and Coaching program within the Global Community is seeking a highly motivated student intern to help us in our program.

Imagine working on rewarding projects alongside industry professionals. As a student intern, you’ll grow your skills and gain real-world experience by helping to plan global events for our academic members - both educators and students - and the Women in Localization global community, manage or even create educational material, while learning to use tools such as Zoom, Eventbrite and Mailchimp for global events. Volunteering with Women in Localization means being part of a global community of localization professionals and aspiring to leadership.

The Global Community consists of the following programs besides Education and Coaching: Membership, Mentorship (and Job Board), and Events and Contents. We work together to achieve our goals.

Closing date: ASAP

Responsibilities:

- Shadow Education and Coaching Global Manager and Leads
- Contribute with ideas for educational and coaching contents
- Take meeting minutes
- Assist with administrative tasks, e.g. events organisation, presentations and material for our website
- Additional duties as needed, primarily within Education and Coaching, but also occasionally for the other Global Community programs

Commitment Expected: Average 2-3 hours per week commitment, including weekly meetings on UK compatible times; 1 year term

Volunteer Recognition Assistant

Program: Operations & Metrics

Number of openings: 1

The Volunteer Recognition Assistant volunteer reports to the Operations and Metrics Program Director.
The Volunteer Recognition Assistant volunteer is responsible for running the Volunteer Recognition Program, including the monthly Kudos Awards and biannual Star Award. They work in collaboration with the members of the Operations Program. Their main responsibilities are ensuring that volunteers know that their contributions are appreciated, and building a positive and inclusive culture within the organization.

Responsibilities:

The Volunteer Recognition Assistant volunteer is in charge of:
- Organizing the monthly Kudos Awards by gathering peer-to-peer nominations and liaising with the Marketing Program for recognition in the member newsletter and blog post.
- Updating Google Forms and Sheets as nominations are collected.

Commitment Expected: The overall commitment for this role is around 2-3 hours/week, and is required to attend the bimonthly Ops & Metrics team meeting (every other Thursday, 5pm)

Volunteer Training Assistant

Program: Operations & Metrics

The Operations & Metrics Program is responsible for running the behind the scenes of the organization and focuses on three main pillars: Metrics, Volunteers and Organizational Health.

Their main responsibilities of the Program are:
- Operational health and logistics Volunteer recruitment, onboarding, management, training and recognition
- Metrics
- Directing activities and the use of resources for specific purposes
- Operational alignment
- Liaising with the Board
- Structural and organizational health

The Operations & Metrics Volunteer Training Assistant works alongside the Volunteer Training Manager and reports directly to Operations & Metrics Program Director.

Responsibilities:

Volunteer Training is in charge of:
- Planning and implementing monthly internal volunteer training meetings
- Liaising with Volunteer Recruitment & Recognition, Volunteer Onboarding and Offboarding and PD to understand training needs of our volunteers
- As part of the Operations Program, Volunteer Training will brainstorm relevant topics and arrange for the appropriate speakers to address these topics in our monthly training meetings
- Keeping a calendar up-to-date with all training sessions
- Locating speakers within the organization who can deliver such trainings
- Facilitating and moderating the Zoom sessions

Commitment Expected: The overall commitment for this role is around 2-3 hours/week, and is required to attend the bimonthly Ops and Metrics team meeting (every other Thursday, 5pm CET)
